Terms and Conditions of Rental

1. General Information

Room2Road is a camper van rental company based in Mallorca, Spain. These terms and conditions govern the rental agreement between Room2Road ("the Company") and the renter ("the Client").

2. Rental Requirements

2.1 Age and License

• Minimum age: 25 years old
• Driving license held for at least 3 years
• Valid EU driving license (international license required for non-EU residents)
• Valid passport or national ID card

2.2 Required Documentation

• Valid credit card in the name of the main driver
• Proof of residence (utility bill or bank statement less than 3 months old)
• Additional drivers must meet all the same requirements

3. Rental Period and Payment

The rental period is defined in the booking confirmation. The vehicle must be returned on the agreed date and time. Late returns will incur additional charges.

3.1 Payment Terms

• Full payment is required at the time of booking
• A security deposit of €900 is required pre-authorized (held) on your card via Stripe before the rental period begins
• Additional charges may apply for late returns, fuel, cleaning, or damages

4. Vehicle Use

4.1 Permitted Use

• Only authorized drivers listed in the rental agreement may drive the vehicle
• The vehicle must only be driven on paved roads
• Maximum occupancy must not exceed the number of seatbelts
• Smoking inside the vehicle is strictly prohibited
• Pets are strictly prohibited inside the vehicle

4.2 Prohibited Activities

• Transport of illegal substances
• Commercial use without prior authorization
• Racing, off-road driving, or reckless driving
• Subletting or lending the vehicle to unauthorized persons
• Taking the vehicle outside of Mallorca is strictly prohibited

5. Cleaning and Return Conditions

The vehicle must be returned in the same condition as received. A cleaning fee of €80 will be charged if the following conditions are not met:

• Kitchen must be washed and cleaned
• Grey water tank must be emptied
• Toilet cassette must be emptied and cleaned
• Fresh water tank must be refilled

Any stains on upholstery or fabrics will result in professional cleaning costs deducted from the deposit

6. Fuel Policy

The vehicle is delivered with a full fuel tank and must be returned with a full tank (Full-to-Full policy). Any missing fuel will be deducted directly from the security deposit at market rate.

7. Insurance and Liability

The vehicle is covered by comprehensive insurance. The renter is responsible for any damage to the vehicle up to the amount of the security deposit (€900).

7.1 Renter Liability

• The renter is responsible for damages up to the deposit amount (€900)
• The renter is responsible for repair costs resulting from negligence or prohibited use
• All traffic fines and parking violations are the responsibility of the renter
• An administrative fee of €30 applies per fine processed

8. Security Deposit Return

The security deposit of €900 is collected pre-authorized (held) on your card via Stripe before the rental begins.

• Daytime return: the vehicle will be inspected immediately and the deposit returned if no issues are found
• Night return: the vehicle will be inspected the next business day and the deposit returned thereafter
• Any charges for damages, cleaning, fuel, or fines will be deducted from the deposit before return

9. Cancellation Policy

9.1 Cancellation by the Renter

• More than 30 days before rental: full refund minus €50 admin fee
• 15-30 days before rental: 50% refund
• 7-14 days before rental: 25% refund
• Less than 7 days before rental: no refund
• No-show: no refund

In case of force majeure (natural disaster, pandemic, etc.), alternative dates or a full refund will be offered.

10. Data Protection

Room2Road complies with the General Data Protection Regulation (GDPR). Personal data is collected solely for the purpose of managing rentals and will not be shared with third parties without consent.

11. Governing Law

These terms are governed by Spanish law. Any disputes arising from this agreement will be subject to the jurisdiction of the courts of Palma de Mallorca.

12. Emergency Procedures

In case of an accident or breakdown:

• Ensure the safety of all passengers
• Contact Room2Road immediately at +34 690 878 212
• Do not admit fault or liability at the scene
• Take photographs of any damage and the scene
• File a police report if required

13. Amendment and Entire Agreement

Room2Road reserves the right to modify these terms at any time. Changes will be communicated to clients prior to their rental period.

This document, together with the signed rental contract, constitutes the entire agreement between the parties.
